This Privacy Notice explains how the Pall Mall Property Club (“PMPC”, “we”, “us”) collects, uses and protects the personal information you provide through this website and in the course of your dealings with the Club. Who we are

Pall Mall Property Club is a private members’ networking club for senior leaders in UK property. We are the data controller responsible for the personal information described in this notice. We collect only the information we need to respond to you and to run the Club. Depending on how you interact with us, this may include:

  • your name, email address, telephone number and the company or organisation you represent;
  • the content of any enquiry, membership application or guest request you submit, including details such as your role, your interest in the Club and any dietary or accessibility requirements you choose to share;
  • basic technical information collected automatically by our website (such as your IP address and pages visited) for security and to help the site work correctly.

How we use your information

We use your information to:

  • respond to your enquiries and correspond with you;
  • consider and process membership applications and guest requests;
  • organise and administer our lunches, events and Club communications; and
  • keep proper records and meet our legal and governance obligations.

Our lawful bases for using your information are our legitimate interests in operating the Club and responding to those who contact us, your consent where you have given it, and, where relevant, the steps necessary to consider your application for membership. We do not use your information for unrelated marketing, and we never sell it.

We share it only with members of the Club’s committee and officers who need it to administer your enquiry, application or attendance, and with the trusted service providers who host our website and operate our email on our behalf. These providers act on our instructions and are required to keep your information secure. We may also disclose information where we are required to do so by law.

How long we keep your information

We keep your information only for as long as it is needed for the purpose for which it was collected, and for a reasonable period afterwards to deal with any follow-up or to meet our legal obligations. Information relating to unsuccessful membership applications and one-off guest requests is kept for a limited period and then securely deleted.

Sharing with venues and caterers

Where necessary to arrange an event, limited dietary or accessibility information may be shared with the relevant venue, caterer or event-support provider. We share only the information necessary to make the requested arrangements.

Where you provide dietary, allergy, health or accessibility information, this is special-category data. We use it only with your explicit consent (Article 9 UK GDPR), solely to make arrangements for the event in question, and we delete it when it is no longer required.
